How to use it

Pick the star rating, your trade, and what went wrong, and you get three replies you can copy. The three are alternatives, not paragraphs — take the closest one, change a couple of words, post it.

Do not paste it verbatim. Adding one sentence about the specific thing the customer mentioned beats any template. Readers can tell at a glance whether you actually read what they wrote.

The four steps of a negative reply

Every reply to a bad review follows the same structure, and all four parts matter: apologise, name the problem, say what changes, invite them to contact you privately.

  • Apologise for their experience, which is not the same as conceding you were entirely wrong.
  • Name the problem — restate what they said, so it is clear you read it.
  • Say what changes — be specific. "I've spoken to the kitchen" carries far more than "we will improve".
  • Invite them privately — give a phone number or email, and move the rest of the conversation off a public page.

Three things not to do: do not argue about who was right; do not publish the customer's name, order number or any other personal detail; and do not offer compensation in exchange for taking the review down — that is paying for a review, which is a violation.

Who the reply is for

Not the person who wrote it. The customers reading afterwards. They are judging how you handle a problem — a well-judged reply often decides whether they come more than the bad review itself does.

Which is why good reviews deserve replies too. Two sincere lines are enough; length is not the point.
